What do guests say was the most important to them when attending a wedding?

How many weddings have you attended? What do you remember most about them?

According to surveys and studies, guests often say that the most important thing to them when attending a wedding is the overall experience and atmosphere. Here are some of the top factors that guests have identified as necessary.

Note that the entertainment is the second most crucial factor and that the DJ plays a vital role in 3 of the six essential elements as they produce #4: The Wedding Ceremony and #6: Serving as the Master of Ceremonies:

  1. Quality of Food and Drinks: Guests often remember the food and drinks served at the wedding and expect good quality and various options to be available.

  2. Entertainment: Guests value having fun and entertainment at weddings, whether dancing to music played by a DJ or band, participating in games or activities, or simply having a fun atmosphere.

  3. Comfort: Guests want to feel comfortable during the event, which means having appropriate seating and table arrangements, climate control, and access to restrooms.

  4. Wedding Ceremony: The ceremony is important to many guests as it is often the highlight of the wedding and provides an emotional and meaningful experience.

  5. Personal Touches: Guests appreciate when the couple incorporates personal touches that reflect their personalities and style, such as unique decorations, signature drinks, or personalized favors.

  6. Communication: Good communication between the couple and their guests can ensure that everyone is informed about the wedding details and can enjoy the event without confusion or stress.

No vendor you hire will have a more significant impact on the success of your wedding than the entertainment!

It's important to remember that every wedding is unique, and what guests value most may vary depending on the individual preferences and personalities of the couple and their guests. However, couples can help ensure their guests have an enjoyable and memorable experience by creating a comfortable, entertaining, and personalized atmosphere.

The 3 Tiers of Wedding DJs

A DJ's experience has a lot to do with what they charge, and that makes sense because the more experienced a DJ is, the better they will be at their job. They will naturally be able to handle unexpected situations and surprises because they are a veteran in the industry.

Budget-Friendly DJ

Expect to Pay: $500-700

Sort >> Price: Low to High…. Sound familiar?

While this might be fine when buying a toothbrush, it may not be the best idea for something as crucial to your wedding as the DJ. After all, so much of your wedding day centers around music, plus a wedding DJ is so-much-more than just a DJ.

Of course, if your professional DJ friend only charges you $500 as a favor, that’s a different story. But wedding DJs in this price range are typically just starting in the business. They’re probably doing this part-time as a side gig and may have schedule conflicts that lead to them not showing up.

Professional Full-Time DJ

Expect To Pay: $1,300-$3,000

Professional, full-time DJs with a full range of services are making this money for a reason.

They are talented, experienced, and 100% committed to ensuring the weddings they perform at are as close to perfection as possible. They typically spend 10-30 hours of prep time for a 5-hour wedding…THAT’S dedication! They’re available for questions, have plenty of song suggestions, and can MC like a boss.

They will also be fully licensed and carry the type of insurance most venues require.

And some DJs may be more knowledgeable in one niche over another, such as a wedding DJ versus a corporate DJ versus a kids' birthday DJ (yes, they have those).

Speaking of wedding niches, we are the best if you plan to incorporate karaoke into your wedding!

Beware!

Once you’ve gathered multiple quotes, compare the DJs’ services and prices. This helps you compare apples to apples to get the best value overall. You’ll also be able to quickly identify opposites to save money without settling for a sub-par DJ. Remember that your wedding DJ’s prices will change if you get additional services like ceremony sound, uplighting, or a photo booth.

This is why it’s so important to interview potential DJs to understand whether they will be the right fit for you.

Duties

What will your DJ be doing? Some brides know exactly what their DJ should be doing and at what time, which is helpful to a professional DJ. It helps them determine when to play certain songs, when they need to be available for emcee duties, or when they need to cut off the music so you can take over the mic. However, some brides have yet to learn what a DJ is supposed to do at their wedding, so they don't know what to expect.

Typically, a trained DJ will know how to emcee, meaning they will talk to your guests and help the crowd transition from one part of your wedding to another. Part of their job is to ensure your guests are having a great time, either by getting them to dance or helping you get them into the right places at the correct times. (And because of the variety of DJs, there are a variety of personalities, which will be vital to you when you hire your wedding DJ.) However, there are DJs out there that will still need to be more comfortable in their role and may need to learn how to take on these kinds of duties with the flair you wish for, or in some cases, they may not offer them at all.

So when you are talking to a DJ you are considering hiring, be sure to speak to them about the duties they are comfortable performing and what services they may not offer. Does your prospective DJ do dance battles or take song requests a certain way? Do they want to be involved in scheduling to help you find good places to transition from one part of the evening/day to the next? This information will help you select the right DJ for your wedding and give you a good feel for their experience.

Now that you know that a professional wedding DJ should account for about 5% to 10% of your wedding budget, what factors determine the cost?

Duration of the Event

Another of the most significant considerations when calculating how much a DJ costs is the time you need them at your wedding or other events. A typical wedding, including the ceremony, is six hours, with that time allocated as so:

3:30 - DJ begins to play music as guests arrive for the ceremony.

4:00 - The start of the ritual follows the wedding invitation.

4:30 - Ceremony ends; DJ plays for cocktail hour.

5:30 - Cocktail hour ends, and reception begins

5:30 - 7:00 - Introductions, Formal Dances, Toasts, Dinner

7:00 - 9:30 - Dance Party!

Equipment

You last want average-quality sound and visual equipment on such a momentous occasion. Professional DJs have the latest, most reliable, and well-maintained equipment. When you hire a professional DJ, most of the cost goes towards maintaining and buying equipment such as microphones, speakers, and more.

Good sound gear isn’t cheap, and cheap isn’t good. When we leave our office to perform at wedding ceremonies and receptions for 150 guests, our van contains just shy of $12,000 worth of gear! If the event requires uplighting and a photo booth, that increases to over $25,000.

You will never be able to tell a $50 lapel microphone from a $600 lapel microphone until you hear it when you exchange your wedding vows, but you’ll know who the cheap DJ is then!

Venue Size and Setting

If extra speakers, microphones, or updated audio equipment are needed for a large wedding, this could result in a higher wedding DJ cost.

Additionally, if you need the  DJ to set up outside, extra equipment such as electrical cables and other equipment could be necessary, raising the cost. Be sure to discuss your venue with your wedding DJ before the wedding day to determine whether these extra charges apply.

Wedding Date

You may not have thought about it, but your wedding date can affect the price and cost of a DJ. Want to get married on 10/24/24? What about July 4th? Thinking of having a beautiful fall event? Popular dates, or affinity dates, will cause the price to go up because DJs will be more in demand on those dates, and in some cases, the price can (and almost certainly will) change if you don't book the date out far enough in advance.

So if you're eyeing one of those "special" dates, be sure to go ahead and book someone now so you don't lose out!

Extra Services or Equipment

Many DJs offer additional services, such as lighting, emceeing, and special effects, which require extra equipment. In these cases, additional charges will apply.

Examples of additional equipment that you may need on your wedding day:

  • Photo booths

  • Karaoke

  • Fog | Dry Ice Machine

  • Cold Spark Machine

  • Disco Ball

  • Lighting and Dance Floor Displays

  • Video Displays

Insurance and Other Costs

Operational expenses such as renting office space, business licensing, and marketing efforts are all included in the wedding DJ cost. DJs also have to pay for insurance. This is to protect you, the DJ and the facility should the DJ’s equipment causes injury or damage at your wedding.

Many quality venues require that the entertainment company is insured. Low-budget DJs are more akin to a handyman than a businessman, so you can bet they will not have insurance. BEWARE! Insurance is a signal of preparation. These DJs won’t have a backup plan if they get sick or have a death in the family.

Since they won’t pay for insurance, if they have any backup gear, it will be the poorer quality gear they replaced because it was damaged or worn out.

I’m not trying to belittle other DJs. However, a group of individuals books more events than they can do by undercutting legitimate businesses, like mine, by $400 or so in price. They then collect the fee and either stop communicating with the couples or claim a death, covid, or another excuse.

I received one frantic call from a bride at 12:30 pm on her wedding day last year!

She has yet to get a cent of her money back. He knows that 99% of those he ripped off aren’t going to court. He performs at one wedding and gets paid for a few more. There’s a new group of couples for him to fleece every year. New Facebook accounts are easy to set up.

Overtime Charges

It's also important to know that many DJs charge extra if your event exceeds the agreed-upon time limit. Make sure you ask your DJ up front whether they have a policy regarding overtime charges and what rate they will charge. This way, you won't be surprised by additional expenses on your wedding day.
